Trinity Lutheran Church is Hiring an Office Administrator Near Galesburg, IL

Purpose: The Office Administrator plays a crucial role as the first point of contact for midweek visitors and callers, creating and maintaining a welcoming atmosphere while ensuring smooth and efficient office operations.

Accountability: The Office Administrator reports to the Pastor (Head of Staff) and serves under the authority of the Congregational Council.

POSITION STATUS: Part-Time Non-Exempt: 20 hours per week

HOURS: Monday - Friday; 8:30am - 12:30pm

Responsibilities: The Office Administrator will manage the office, coordinate volunteers and staff, create a hospitable environment for all, maintain church records, and serve as a secretary for the head-of-staff, and clerical assistance congregational council.

  • Manage the Church Office which includes: maintaining an inventory of church and office supplies, arranging for equipment maintenance, and coordinate volunteers.
  • Greet, assist, and screen visitors according to the needs and schedule of the pastor and staff.
  • Perform the function of administrative assistant to the pastor and the other staff including: creating documents, filing, routine correspondence and maintenance of the calendar.
  • Manage communications with the congregation and the community, including regular updates to our website and social media, weekly worship bulletins, and the monthly newsletter.
  • Maintain permanent church records including: minutes of board and congregational meetings, church member roll (transfers, baptisms, weddings, funerals), and prepare the annual report for the congregation. Additionally track and maintain files of prospective members.
  • Maintain the church management system along with the finance secretary, including: recording worship attendance, time and abilities (each member’s areas of ministry involvement), and updating contact information.
  • Perform administrative work for church committees and organizations as directed by the pastor as head of staff, including: collecting committee reports and sending out an advance agenda and reports to council.
  • Order supplies as needed and assist with locating materials including Sunday School materials and janitorial supplies
  • Assist with special ministry needs, such as contacting proper leadership in cases of sickness or death within the congregation.
  • Handling of other tasks as assigned within the parameters of the position.

JOB SKILLS AND REQUIREMENTS:

  • Cordial and professional conduct and excellent interpersonal skills.
  • A commitment to confidentiality of personal information of the congregation and staff.
  • Ability to organize and administer information.
  • High attention to detail is critical for the smooth running of the church and communication of information.
  • Knowledge of computer hardware and software, including MS Word, Excel, Outlook, access and church management software.
  • Timely attendance with ability to vary schedule when needed.
  • Adaptability in a fast-paced environment, ability to handle multiple tasks simultaneously, and prioritize effectively in a dynamic environment.

EVALUATION: Performance reviews will be conducted annually by the personnel committee and the pastor.

COMPENSATION: Competitive hourly rate ranging from $15 to $17 per hour, commensurate with experience and qualifications.
